About the role:

The role involves implementing and managing an External Engagement activity calendar that reflects the activities and major deliverables of each function and faculty throughout the year. It includes providing project support for cross-team initiatives, planning and implementing processes to gather academic travel data, and offering dedicated support to the partnerships team. This support includes scheduling meetings with external partners, conducting research on companies and individuals, and performing desk research on specific sectors. Additionally, the role entails designing and maintaining a SharePoint site in collaboration with the School’s operations team and External Engagement functions, ensuring it is updated with organized, key documents.

A significant part of the role includes coordinating and managing diaries for cross-team collaborative projects and providing administrative support for the School’s Advisory Council, External Relations Committee, and other leadership meetings. The post holder is expected to become proficient in using the School’s CRM system and PowerBI, assisting functional leads in accessing management information. They will also take responsibility for organizing and maintaining the School’s internal and external relationship contact list within the CRM.

General administrative duties involve coordinating merchandise orders for the External Engagement team and supporting colleagues as needed. The post holder will work with the Operations team to establish systems for financial administration, including raising purchase orders, tracking invoices, monitoring commitments and payments, and managing purchasing cards. They will also handle HR-related administration, such as preparing candidate packs and onboarding new staff. Creating and maintaining accurate “About Us” materials, including a PowerPoint deck about the School, is another responsibility. Additionally, they will manage the King’s Business School inbox, triaging emails as necessary.

Team coordination responsibilities include supporting the Director of Partnerships & External Engagement with managing the School’s Advisory Council, External Relations Committee, team meetings, away days, and regular activities. The role requires coordinating and supporting multi-stakeholder meetings, particularly those involving external clients and partners, by managing diaries and preparing agendas, papers, and biographies. The post holder will also manage and deliver travel arrangements for team and school-wide delegations and provide event support for functional activities as required.

The role concludes with responsibilities that may extend beyond the listed tasks, as the post holder may be required to undertake additional duties within the scope and grade of the position.

This is a full time position offered on a indefinite contract.

To be successful in this role, we are looking for candidates to have the following skills and experience: 

Essential criteria

  1. Great communicator – understands how and when to engage with an audience and can write and deliver compelling messages.
  2. A problem solver and critical thinker, with a desire to take on new tasks and create new processes and ways of working that will be as effective as possible.
  3. Excellent at organizing multiple priorities and working with multiple stakeholders.
  4. Excellent digital skills; MS Office including Excel, CRM systems, finance and invoicing systems.
  5. Experience of establishing and delivering basic processes to ensure smooth delivery work.
  6. Ability to work effectively across new / multiple systems to organize workload.
  7. Experience of co-ordinating meetings, committees and travel itineraries.
  8. Excellent written skills, and capable of effective communication with audiences from different backgrounds, cultures and levels of seniority.

Desirable criteria

  1. Project Management experience or qualification  
  2. Experience of working in the business school / higher education sector.  
  3. Experience of working within multi-functional teams
