Part of the Estates and Facilities division, King’s Venues is the dedicated conference and events department of King’s College London. Nestled in the vibrant heart of London, many of our buildings are situated near the picturesque River Thames. We offer an exciting array of over 200 unique spaces across five campuses, catering to every type of event in both contemporary and historic settings.

Our team at King’s Venues manages event activities across all five campuses, handling both internal and commercial bookings. From the initial enquiry to seamless coordination with internal teams, we ensure the successful delivery of each event.

About the role

King’s Venues are recruiting a Student Societies Event Co-ordinator to support the student population at King’s organise individual, ratified society and non-ratified society events.

Within the role you will take an event from enquiry through to event completion whilst ensuring that the colleges policies and guidelines are adhered to such as: fire risk safety, health and safety, food safety and external speaker policy.  The postholder will ensure that all parts of events are organised, coordinating between multiple colleagues and making sure that that relevant teams are communicated with to ensure an events success.

You will be required to advise on event risk assessments ensuring that the correct information is available to colleagues to make informed decisions. The post holder is also required to organise and prepare quotes and deposit invoices for all necessary events and ensure that the customer knows what they are being charged and the terms and conditions for when payment must be made.

This is a full time role (35 Hours per week), and you will be offered an a fixed term contract until 03/08/2025.

About you

To be successful in this role, we are looking for candidates to have the following skills and experience:

Essential criteria

  1. Excellent written and spoken English
  2. Computer literate and experience using an event management software
  3. Good organisation and planning skills
  4. A good understanding and Health and Safety regulations related to event management
  5. Good Interpersonal skills
  6. Proven ability to work as a team player
  7. Experience in a customer service focused role/environment
  8. Ability to problem solve in the case of unexpected issues

Desirable criteria

  1. Experience of working in the Higher Education Sector
  2. A keen interest in both current and ongoing political and non-political affairs
  3. Experience in completing event risk assessments including those with risk mitigations
