We recognise that student life does not always go to plan, and an individual’s personal circumstances can change significantly during their stay, affecting their ability to adhere to their King’s Residences Licence Agreement. Early terminations are usually only granted to students withdrawing from College or interrupting their studies. If you are withdrawing, make sure to complete a Notification of Withdrawal from College form and notify us on kingsresidences@kcl.ac.uk. Information about withdrawing from College can be found on this Student Services webpage.
All requests will be reviewed in accordance with our Early Termination policy and after receipt of the relevant form and supporting evidence.

If you wish to swap your room with another King's student staying in King's Residences, you both with must send the following information in an email entitled 'Room Swap' to kingsresidences@kcl.ac.uk:
- Your full name
- Your KCL ID
- The name of the individual with whom you intend to swap
- Confirmation that you have read the Room Swap Process document
If we are able to grant your request, a new accommodation agreement will be issued and you and your “swap partner” will have 24hrs to accept it online.
Keys and access cards must not be swapped until both Licence Agreements have been signed online by the “swap partners” and a swap date has been agreed with the team.
It is the responsibility of each swap partner to ensure that they receive the correct credit notes/invoices in respect of any financial adjustment to their student account resulting from the room swap. Please note that a cleaning administrative charge of £50 will be applied to both parties.
Please allow 2 weeks for us to process your room swap request.
Students who wish to terminate their Licence Agreement and move out of residences have to find a replacement occupier who has been approved by the team (at our absolute discretion) and who is not already in one of King’s Residences to take up the remainder of your licence agreement.
If you wish to transfer your room contract with another King’s student, you both must send the following information to kingsresidences@kcl.ac.uk:

- Your KCL ID
- The name of the individual with whom you intend to transfer
- Confirmation that you have read the Room Transfer process document
If we are able to grant your request, a new accommodation agreement will be issued and you and your “transfer partner” who will have 24hrs to accept it online. If you're a current resident looking to extend over the summer, extension requests will be available from March. We'll email you to let you know when these requests can be made. You must be up to date with your accommodation fees in order to book an extension.
If your request is granted, you'll be contacted to accept a new accommodation licence agreement, which you must accept within the given timeframe. You will not be required to pay a new pre-payment for summer extensions.
Please bear in mind that you may be required to move rooms or even halls depending on availability.
When can I swap my room?
From October we start taking requests for swaps. Once all the forms have been completed and sent to kingsresidences@kcl.ac.uk and the room swap has been authorised by the allocations team, we will confirm your swap date.
Can I swap into a room that's currently empty?
No, vacant rooms are reserved for students who don't yet live in residences.
I am a KAAS recipient, can I swap my room?
Yes, as long as your "swap partner" is also a recipient of KAAS.
How can I find a "swap partner"?
There are many ways for you to find students who wish to swap their rooms. Our Residences Facebook groups are one way to connect with other residents, but the KCL Flatmate Finder Hub, managed by the Advice Services, also connects King’s students looking for halls contracts to take over. You may wish to try The Student Room too, which has a large following from KCL.
What if I'm in intercollegiate halls?
Unfortunately we cannot offer room swaps for these residences as your agreement is with a different provider. If both of you live in a hall with the same provider, the local reception staff will be able to tell you if and how you can swap.
Can I swap my room with a student not current in residences?
No, you'd need to arrange a room transfer instead.
Can I swap my room with an undergraduate if I'm a postgraduate?
No, as rooms are allocated based on student classification (Foundation/UG/PG).
I have signed a 40-week contract, can I swap with someone on a 51-week contract?
No, you will need to find a "swap partner" on the same contract length.
I am withdrawing from college, do I need to find a replacement for my room?
No, as you are terminating your study you are not required to find a replacement for your room. Please ensure you've completed a Notification of Withdrawal from College as mentioned above and notify us on kingsresidences@kcl.ac.uk.
