In order to ensure your needs can be met, it is essential that you disclose your requirements when you apply for King’s College accommodation using the portal system. If you do not let us know until after you have applied, we cannot guarantee that a suitable room will be available. Requests for adjustments submitted at very short notice will be equally considered but cannot be guaranteed as suitable rooms may have already been booked by other students.
If the nature of your condition means special adaptations are not necessary, you will be able to book your room online using our online booking system.
If you do require an accessible room or room adjustments, you are required to complete the ADP form at the registration stage of the booking process. Please ensure you can provide the required evidence before making your application.
Once your requirements are received, the Allocations team will liaise with the Disability Support & Inclusion team to confirm any necessary adjustments.
Any applications submitted without supporting documentation provided to disability@kcl.ac.uk will be rejected. Remember to please include your name and the fact that you have applied for ADP in your email to the Disability Support & Inclusion team in order to support the team in verifying your evidence promptly.
If the original evidence is not written in English, an authorised translation must be provided. The original (untranslated) document must also be provided, and this must be signed by the author. Please see your embassy for a list of authorised translation agencies.
- Once the portal is open for the upcoming academic year, you will be able to register to book a room. Information on eligibility, guaranteed groups and application deadlines are available in the Accommodation Policy.
- At the point of registration, you should complete Accommodation Disability Provision section if you feel you will need any adjustments to the room due to a disability or medical condition.
- Please ensure you complete the Accommodation Disability Provision section with as much detail as you feel comfortable sharing, but it must include sufficient information to assess whether adjustments are needed. If details are omitted when submitting the application, we cannot guarantee that we will be able to correctly assess your requirements.
- All supporting medical evidence must be emailed to disability@kcl.ac.uk and this evidence will be stored in line with College policies and the Data Protection Act 2018**. Please ensure you include your name and the fact that you have applied for ADP in your email to the Disability Support & Inclusion team.
- Where necessary, the Allocations Team will liaise with the relevant team(s) to assess ADP applications and provide an outcome. Relevant teams include Disability Support & Inclusion and Residences Welfare.
- A member of the Allocations Team may contact you directly for more information before a decision is made. For example, if you disclose a condition like epilepsy, we may get in touch to find out more details about the condition (e.g. the nature of the seizures, the duration of seizures, date of last seizure and if manual assistance is required in the event of a seizure).
- The Allocations Team will endeavour to process ADP applications within 14 working days of receipt of the application and supporting evidence. Late submission of evidence may cause delays in processing an ADP application.
- Where an ADP application is successful, the Allocations team will allocate a room that is believed to be suitable for your requirements based on the information provided in the application and verification of the medical evidence. The notification will be via email, and you will then be expected to accept the allocation and take necessary steps to secure the booking.
- If an ADP application is assessed, and the nature of your condition means that reasonable adjustments are not necessary, the Allocations team will notify you via email that the rooms typically available for self-selection should be suitable for your needs and you will be given access to the booking system to self-select a room. Guaranteed accommodation deadlines can be found in the Accommodation Policy.
** Information provided in your ADP application to King’s Residences is used for accommodation purposes and may be shared with the wider Residences team and the Disability Support and inclusion team. If your disability is likely to impact your studies and you may require additional support or reasonable adjustments, including campus access and exam arrangements, please contact our Disability Support & Inclusion team for more advice.
